Why the practice exists
Host Trackhub was formed around a recurring tender-room problem: a sound commercial estimate can still be undermined when totals, declarations and issued schedules do not agree. We provide a fresh set of eyes after the budget is prepared but before authority to submit is given.
Experience that fits the work
Our reviewers combine bid administration, cost-control and audit experience across South African procurement settings. Work is led by a senior reviewer familiar with bills of quantities, tax treatment, tender addenda and financial returnables. When specialist interpretation is needed, we state the limit and ask the client to consult its legal or quantity-surveying adviser.
How we work with bid teams
We preserve version discipline, refer every comment to a source page or clause, and separate confirmed discrepancy from reviewer question. We do not rewrite a bidder’s commercial position. The bid lead decides how each exception is resolved and confirms the final submission.
Confidentiality starts before file transfer. Initial enquiries should identify the tender and deadline without including sensitive pricing. Accepted work uses an agreed controlled channel and named contacts.
Values in practice
Independence: we disclose conflicts and do not review budgets we helped prepare.
Traceability: every finding should lead back to a figure, returnable or instruction.
Restraint: we report what the documents support and avoid claims about award prospects.
Respect for closing time: feasibility is assessed honestly; an unsafe deadline is not accepted merely to secure the fee.
