Information and purpose
We collect names, business contact details, enquiry text, tender identifiers and engagement correspondence. Accepted work may include personal information already present in tender documents. We use it to answer enquiries, assess conflicts, contract and deliver reviews, secure records, invoice clients and meet legal duties.
Legal basis and sharing
Processing is based on contract steps, legitimate business interests, consent where required and legal obligations. Access is limited to assigned reviewers and service providers supporting secure communications, hosting or professional administration. We do not sell personal information.
Retention and security
Unaccepted enquiry records are normally removed after 12 months. Engagement administration is retained for up to seven years where required for tax, contractual or professional records. Working tender copies are deleted according to the accepted scope, ordinarily within 90 days after close-out. We use proportionate access, transfer and disposal controls.
International transfers
Some carefully selected providers may process information outside South Africa. Where this occurs, we assess safeguards and use contractual or other lawful transfer measures consistent with the Protection of Personal Information Act.
Your rights
Subject to applicable limits, you may request access, correction or deletion; object to processing; withdraw consent; or complain to South Africa’s Information Regulator. We may need to verify identity before acting. Email info@host-trackhub.digital to exercise a right.
