This engagement is designed for South African bid teams with a substantially complete tender pack and a named internal bid lead. It suits construction, facilities, professional-services and supply tenders where pricing appears in several linked schedules.
The result
You receive a numbered exception register showing the source document, clause or schedule reference, observed issue, compliance risk and recommended correction. A close-out call takes your team through every open item. The final pricing decision remains with the bidder.
Included
- Recalculation of extensions, subtotals, discounts, VAT and grand totals.
- Reconciliation between the bill of quantities, pricing schedule, form of offer and budget summary.
- Review of mandatory pricing declarations, signatures and initialling requirements.
- Checks for blank rates, inconsistent units, duplicated allowances and omitted provisional sums.
- One revised-document recheck after your team addresses the register.
We do not prepare your bid, set commercial rates, provide legal opinions, certify affordability or guarantee an award. Technical method statements and functionality scoring fall outside this scope unless separately agreed.
How the engagement runs
1. Conflict and readiness check
Send the tender number, issuing authority, closing date, document index and current budget status. We confirm availability and check for an obvious conflict before accepting files.
2. Controlled document review
Your nominated contact supplies the issued tender pack and the version proposed for submission. Review normally takes three to five working days; complex BOQs or compressed deadlines are quoted separately.
3. Exceptions and close-out
We issue the exception register through the agreed secure channel. Your team retains control of all edits. The 45-minute close-out call focuses on high-risk discrepancies and evidence that each correction has carried through the pack.
Preparation and constraints
Files should be searchable PDF or unlocked spreadsheets, clearly versioned and complete. Scanned schedules, late addenda, multiple pricing alternatives and submissions above 500 BOQ lines may extend the timeline. We need the pack at least five working days before closing for the standard service.
Fee and next step
Fees start at R18,500 excluding VAT and are confirmed after the readiness check. Urgent work, on-site attendance and exceptionally large bills are quoted by scope. Send the tender brief without attaching confidential bid files; we will arrange a suitable transfer method after acceptance.
